New School Setup Checklist — First Term on SBAGhana Pro

Step-by-step setup order for Ghana basic schools: profile, departments, classes, subjects, teachers, students, and score entry before your first report cards.

Start with school profile and branding

After registration and approval, sign in via your branded portal at /s/your-school. Upload your logo, set contact details, headteacher name and signature, and confirm your portal link for staff and parents.

Build your academic structure

Work through these menus in order — each step depends on the previous one:

  • Departments — Preschool, Primary, JHS; set SBA class/exam weight split per department
  • Classes — create B1–B6, JHS1–JHS3, KG groups under each department
  • Subjects — add core and elective subjects per department
  • Class subjects — map which subjects each class takes
  • SBA assessments — define class tests, projects, and exam types with weights
  • Grading scales — review default grade bands or edit per department

Add people

Create teacher accounts, assign each teacher to their class-subject combinations, and designate class teachers. Import students from CSV/Excel or add manually. Assign admission numbers — parents will need these for portal login.

Before the first report card

Confirm the platform active term with your Super Admin contact. Teachers enter scores throughout the term. Monitor completion on the SBA dashboard, approve score sheets, complete conduct and remarks, then generate and publish report cards. Generate parent voucher PINs before results day.
